Overview
We are currently recruiting on behalf of a highly regarded law firm for an experienced Legal Secretary to join its established Real Estate team in Belfast.
This is an excellent opportunity to support both the residential and commercial property teams, working closely with a small number of fee earners in a traditional legal secretarial role.
The successful candidate will provide high quality administrative and secretarial support across a broad range of matters including residential sales and purchases, remortgages, commercial development, investment, landlord and tenant matters, and property finance work.
The firm offers a supportive and collaborative environment together with a hybrid working arrangement of 4 days in the office and 1 day from home.
Key Responsibilities
- Providing secretarial and administrative support to fee earners within the Real Estate team
- Managing diaries, arranging appointments and coordinating meetings
- Liaising confidently with clients, solicitors, estate agents, lenders and other third parties
- Preparing, formatting, editing and producing legal documentation and correspondence
- Assisting with residential conveyancing transactions including sales, purchases and remortgages
- Opening and closing files and maintaining accurate records on the case management system
- Handling telephone calls, emails and general client queries in a professional and efficient manner
- Managing deadlines and prioritising workload to ensure all tasks are completed promptly
- Supporting fee earners with billing, file management and general administration
- Maintaining strict confidentiality at all times
Essential Skills and Experience
- Previous experience working as a Legal Secretary, ideally within residential conveyancing or Real Estate
- Strong knowledge of conveyancing processes and property related documentation
- Excellent typing and document production skills
- Confident using Microsoft Word and case management systems
- Strong formatting and editing skills with excellent attention to detail
- First class communication skills, both written and verbal
- Ability to work under pressure and remain calm when managing tight deadlines
- Strong organisational and time management skills with the ability to prioritise effectively
- A proactive and self-motivated approach
- Ability to use initiative and work both independently and as part of a team
- Professional, discreet and able to handle confidential information appropriately
